2009 AUG Meeting Held in Mickey's Town

It's a perennial question – where to meet in January to escape winter for a few days, where flight costs aren't prohibitive and where attendees might want to stay on for the weekend to enjoy some time away? The answer this year was Orlando, Florida – the city chosen for the 2009 Advantage User's Group meeting which took place on January 21-23. The weather was unseasonably cool, but still a welcome change from the frigid temperatures across much of the country that same week. And there was plenty of sun, even if the temperature stubbornly refused to rise much above 50 degrees.

About 40 attendees representing 19 Advantage clients flew to Florida to meet for two full days. This year's program started with afternoon sessions on Wednesday which involved presentations by Advantage on such topics as "Advantage as your Marketing Partner," a recap of the AMB Forum held in July 2008, and an update on the progress of the Business Intelligence Module, now in development. This year, the cocktail receptions on Wednesday and Thursday evenings were co-sponsored by Ektron and Gold Lasso.

 

Arabian Nights
After the networking reception on Wednesday evening, an adventurous group took in "Orlando's #1 Dinner Attraction"—Arabian Nights, billed as "the world's greatest show…on horses!" There are no words I can think of to describe it-- you have to see it to believe it. Andy Wright (Oxford University Press) came out of the show saying: "I wouldn't have missed this for the world!" You'll have to ask him what he meant.

Thursday's sessions included an address by keynote speaker Patrick Sheposh, Corporate Circulation Director at Crain Communications. Patrick provided a thought-provoking view on technology and change and where the publishing industry is headed. This was followed by an update from the Customer Services Division of ACS, and short presentations by the above-mentioned sponsors. The afternoon began with a presentation by Tim Swietek (Ogden Publishing) and Wade Elmblad (Kalmbach) on improving traffic to your website. Following this, Dan Heffernan and Dick Hile presented the ACS perspective on software direction and Mona Hidayet capped the afternoon with a look at some of the features in the latest rev of Advantage.

Friday morning brought us some roundtable sessions, allowing users to interact in small groups to discuss various topics in more depth, and to share experiences at various client sites. This year the roundtable topics were:

After lunch on Friday, a User Group business meeting concluded this year's sessions, although a good number of attendees chose to stay in Florida for the weekend.

As always, the User Group was active, vocal and provided important input to the future direction of the Advantage application and how ACS conducts business. We at ACS greatly appreciate hearing your thoughts, ideas and priorities, and will be incorporating many of them in our plans.

Many thanks to the organizers for putting together an excellent event, and to all the speakers and roundtable presenters who shared their experiences and ideas. If you weren't able to make it this year, plan now to include the AUG meeting in your plans for next January. The networking and valuable ideas you will come away with are more than worth the cost.

I, for one, am looking forward to hearing about plans for 2010. Hey, to be absolutely certain of warm weather, how about somewhere south of the equator? Who's with me?

Help Us to Help You

It is a cliché that software developers who become managers never fully let go of their need to program. Like a cough in a concert hall, there is no way to suppress the tickle that says it's time to design something, code it, test it, demo it, tinker and re-design.

This is why I appreciate my current opportunity to delve into the design and development of ACS's nascent Business Intelligence module. At the recent AUG meeting, we discussed the current status. The project holds enough technical challenges to keep me occupied for many months.

The literature on data warehousing and business intelligence is extensive, reflecting the software industry's decades long struggle to coax 'actionable intelligence' from databases that stubbornly conceal what they know behind a façade of obscure names and complex structures. My bookshelf is groaning under a stack of thousand page books explaining Key Performance Indicators, Slowly Changing Dimensions and debating the pros and cons of star schemas vs. snowflake schemas. Historically, many projects have failed.

The good news is that tremendous progress has been made recently. There is a growing consensus on the best methodologies to use to build a robust, scalable data warehouse that can deliver answers to a wide range of marketing and management questions – including the questions you have yet to formulate. Better still, the software tools are keeping pace with methodological advances. I've been pleased by the solid foundation Microsoft has built into their SqlServer 2008 suite of business intelligence tools.

But a sturdy technical infrastructure is not enough. To succeed, a data warehouse must present just the right mix of data elements. Too few, and users cannot find the answers they seek. Too many, and users get lost trying to sift the relevant from the irrelevant.

This is where you come in. Help us define exactly which reports and pivot tables your decision-makers need in order to make your business hum. Looking Upward & Onward

In these hard economic times, it's easy to think of reasons not to begin a new project. Kalmbach Publishing: Riding High on the Hobby Train

This month, Customer Portrait presents Kalmbach Publishing in Waukesha, Wisconsin.  Kalmbach joined the Advantage community in 1982.

In 2008, Kalmbach Publishing celebrated their 75th anniversary as a special interest publisher serving a diverse set of hobbyist markets. Kalmbach provides information to their customers through a variety of media channels including books, events, magazines, television partnerships and web sites.

Kalmbach editors and many other staff members are active enthusiasts themselves, sharing the same passion and curiosity for their leisure time pursuits as their readers. This mutual enthusiasm fosters long-term relationships with customers, and their Advantage system supports that effort with extensive customer loyalty-building features.

Kalmbach's markets currently include model railroading—with the 75-year-old Model Railroader as the flagship—beading and jewelry making, astronomy, scale modeling, and bird watching. They produce 15 magazines and a host of special-interest publications (SIPs). The book division publishes about three dozen books annually, and they also maintain nearly 30 Web sites.

An independent and privately held publishing company in Waukesha, Wisconsin, Kalmbach continues to grow and diversify by acquiring and launching products, and by capitalizing on opportunities within their core markets. To support their growth strategy, they actively monitor trends and look for opportunities to acquire existing products and launch new ones. Advantage is an important tool in that effort.

Advantage has been a part of Kalmbach's success since 1982. At that time, Kalmbach was looking to expand and needed a system that could support their growth and help them build their special interest databases. Advantage fit the bill then and has supported their growth ever since. In 1982, Kalmbach converted less than 100,000 records onto Advantage, while today they serve nearly 1.5 million.

In addition to CIR (Circulation Management), PRO (Product Order) and other core modules, Kalmbach uses ADM (Advertising Management) and BDM (Bulk Distribution). They added the Web module in 1999 and CEM (Conference and Event) in 2004. CEM helps them to manage the Bead&Button show, which Kalmbach acquired along with Bead&Button magazine in 1996. They moved the show to Milwaukee in 2001 and it has grown to become the world's largest consumer bead show. The 2009 Show offers more than 500 beading classes and workshops and will feature nearly 300 exhibitors on the show floor. About 3500 seats were sold on opening day for class registration in January!

Nikki Lorenz, Business Systems Manager, has been working with Advantage since 1985, although she prefers not to be referred to as ACS' "oldest" client. "The Advantage product has really evolved since we signed on, as has the level of support ACS provides," says Nikki. "I have always been able to count on ACS to be there when I need them and to provide whatever services are necessary. We have developed a great partnership through the years."

Jim Schweder, Vice President of Technology at Kalmbach, has this to say about ACS/Advantage: "A true business partner. The ACS team has always been helpful and understanding as we expand our use of the Advantage system."

As a long-time Advantage client, Kalmbach has hosted many site visits for prospective Advantage customers. ACS is always happy to send prospects to Waukesha because Kalmbach's well-run operation never fails to impress other publishers. The company's strong emphasis on customer service is always noticed and remarked upon. Kalmbach employees know the Advantage software very well and use it to its full capacity, which also makes a very positive impression. These factors have made Kalmbach the leader in turning site visits into sales for Advantage. (We are still working out the sales commission details!)

Highlights of Advantage 2009R1

The first release of 2009 offers some exciting new features. Here are just some of the enhancements. Contact your account manager today to learn more.

Systems Changes

  • Login Enhancements
    A new table has been added to store user login information. This table, CDSLGN-D, is populated during the upgrade, and contains the user code (USR-CDE), domain name (DMN-NME), and the user's system login name (USR-LOG). A user can have more than one record, if she/he uses multiple domains.
  • Alternating Row Colors in User Displays
    With this release, you can configure your Advantage session to display list frame rows in alternating colors; this visual aid can be helpful in setting off rows in long lists from each other.

Advertising Changes

  • Account Mappings in ADM
    The previous rather haphazard approach has been replaced by true account mapping, with the mapping ID's located on the Systems view within ADM---ADMTBL/SYS.

Customer Changes

  • Company Name "Contains" Search
    Previously, the search on the Company Name field at SVCDAT and in the Customer Lookup dialog was a prefix search only. You now have the option to use either a prefix or a "contains" search on this field---set the new CDS option COMPNAME to either "P" or "C" to indicate your preference.
  • Expanded Phone Number Fields
    The four phone number fields have been expanded to 25 characters.
  • Multiple Future Addresses
    You can now have up to 9 future addresses for a customer.
  • Require Password Change with Next Use
    You may now require a user to reset their password after their initial login.

Access Management Changes

  • Agreement Choices
    You can use the subscription, item, and member choice features to structure multiple promotion offers, and then attach the offer defined by that choice to one or more promotions. Now, in addition to subscription, item, and member choices, you can create choices for AMB agreements and offer them as part of your promotions.
  • Access Agreement Upload Process
    A process was added allowing you to load in new AMB agreements, new AMB agreement versions, and AMB agreement renewals, where the data involved has been created outside of Advantage.
  • AMB Liability Forecasting
    A set of database tables related to AMB liability forecasting, and the processes to populate and purge them, are available with this release. These tables can provide agreement liability information as of a given point in time (i.e., a snapshot), as well as projected future earnings.
  • Referring Customer in AMB
    You can now indicate a Referring Customer when adding an agreement in AMB.
  • AMB Agreements in INV Packages
    Packages set up at INVPAK may now contain AMB agreements in addition to CIR subscriptions and PRO products.
  • Agreement Participant Limit
    You can now set a limit on the number of participants for an AMB agreement (of any price type---per agreement, per participant, or per usage).
  • Support for End-User License Agreements
    As part of granting online access, you may require that users agree to the terms of end-user license agreements (EULAs) before they are granted access, and AMB now supports this.
  • AMB Agreement Demographics
    Two banks of 32-character fields are now available for use as demographic fields on AMB agreements.
  • Synchronize AMB and CIR Packages
    You may offer AMB access and a related print subscription as part of the same inventory package, and now you can "synchronize" agreements and subscriptions that are entered as part of the same package.
  • AMB Trial Term Recovery
    With this release, you can optionally "recover" a trial term, by using the new AMB system option TRSVCBRK ("service break before no trial recovery").
  • Renewal Page Feature for AMB
    You can now bundle CIR subscriptions and AMB agreements into the same inventory package.
  • AMBERN-S Table
    AMB provides the basis for user-defined reporting on AMB-based income from activity within Advantage. This activity is recorded at a detail level in the AMBERN-S table (new with this release), which can be accessed using the user-defined reporting feature or through other reporting tools available for the database you are using.
  • AMB Automatic Email Notification
    With this release, you can set up the AMB module to send automated e-mails to the agreement administrator whenever an agreement is released by the system.

Accounts Receivable Changes

  • Multiple Credit Card Vendors
    You can now split credit card processing across multiple vendors within one instance of the software.
  • Multiple Direct Debit Clearing Systems
    You can now split direct debit processing across multiple vendors within one instance of the software.
  • Direct Debit Wait Until First Issue
    You can set the system to postpone executing a direct debit order until the first issue has been received, or for a specified “acceptance period,” if desired.
  • Debit Card Authorization
    When the system detects entry of a charge card that falls within the reserved debit card range, the rep will be prompted to obtain the customer's permission before using the card.
  • Credit Card Dual Encryption Keys
    If you use the credit card encryption feature, you now have the option to use the stronger security method of "dual-key" encryption---that is, requiring that the encryption key to be split into two parts, with each part separately approved by the system.

Conference and Event Changes

  • CEM Deferred Income
    You can now optionally choose to defer income from conference registrations until the start of the conference.
  • Multiple Email Addresses
    You can now record multiple email addresses for a single conference registration.

Circulation Changes

  • Gift Subscription Analysis
    A new analysis table, CIRPMG-M, tracks promotion responses for subscriptions that have been specifically identified as "gifts." While one definition of a gift subscription is simply one where the bill-to and ship-to customers are different, CIRPMG-M uses a specific flag on the donor type record to identify gift subscriptions. The table allows you to report on such conditions as gift subscriptions where the donor her/himself is one of the recipients.
  • Alternate Delivery Enhancements
    You can now qualify a subscription for alternate delivery on an issue-by-issue basis.
  • Ancillary Name Merge
    You may wish to incorporate names from an outside list into the presort file for main issue distribution, in order to improve your mailing rates.

Campaign Changes

  • Upsell from a Promotion Choice
    Advantage upsell functionality has been enhanced to allow you to upsell from one specific promotion choice to another. For example, you could set up two offers for a subscription under a promotion, one for a 12-month term and one for a 24-month term. When the 12-month term is ordered, your upsell setup can prompt the rep to promote the 24-month choice to the customer.
  • Promotion Choice Narrative
    With this release, you can enter narrative text for choices set up under a promotion at CPNPMO/ITM. This could be used to provide additional information in order to increase the effectiveness of the promo choice---such as on Web pages.

Contact Management Changes

  • Task Upload
    You can use the new CRM125 process to upload CRM tasks into Advantage, and optionally link these tasks to scanned images for customer service purposes.

Duplicate Consolidation Changes

  • Errors-Only Option on DUP430 Report
    If you are processing a large group of records, you might wish to see only the warnings and errors, and not the successful consolidations. This is now an option on the DUP430 report.

Inventory Management Changes

  • Product Images
    You now have the ability to store images of inventory on the network, and have them displayed either by using the Images tab at INVDAT or the Images tab in the upper left corner of the Item Overview dialog box.
  • Support for ONIX Standard
    Advantage is adding functionality to support the ONIX standard. Release 2009r1 includes a preliminary and partial implementation at the INVONX workspace. While this feature is not ready for production use, we encourage you to evaluate it and give your Advantage representative your feedback, and suggestions for improvement.
  • Increased Item Number Field Size
    The size of the Item Number field (ITM-NUM) has been increased from 10 characters to 16 characters. It remains an alphanumeric field.

Master Data Entry and Product Order Changes

  • Subject Trees
    Advantage now supports searching for products by pre-defined item subjects, as well as building "subject trees" for a collection of items. Subject trees are used mostly on websites, and allow you to provide drill-down capability to the customer, similar to functionality offered on many e-commerce websites. For example, you could build a tree consisting of "books > nonfiction > sports > golf," where the number of items that satisfy the search decreases as you move down the tree. This will allow your website customers to pinpoint desired items more quickly and efficiently.
  • Keyword-Based Product Search
    You can now search for products by keywords---the products that have the keyword "golf," for example.
  • Multiple Email Addresses
    You can relate multiple e-mail addresses to a PRO ship-to customer at the order line level when the order is entered at MSTDAT/FST.
  • Product Returns from MSTDAT/PRO and SVCDAT/PRO
    With this release, your customer reps can enter product returns directly at the SVCDAT/PRO – Product Orders view (or the MSTDAT/PRO view), without needing to route to MSTDAT/FST first.

Customer Service Changes

  • Customer Service Notes Management
    A new feature has been added to allow you to import and "work" customer notes in a structured and controlled environment---for example, a support area that responds to customer questions and requests for action in the form of customer notes. You can use the Customer Service Notes Management feature to organize customer notes (SVCCON-M records) into a hierarchical/priority-based structure for more efficient addressing by your customer service personnel.
  • Customer Service Emails to Multiple Recipients
    You can send outgoing customer service responses from within Advantage via e-mail. This involves setting up the proper e-mail template, and indicating "Send Response" when you are creating the customer note.

Paul Sauter: Rising Star in Software Engineering

Paul Sauter is a second-generation software engineer who can barely remember a time when there wasn't a computer in his home. Still, when he entered the University of Michigan, he wasn't entirely sure what career he wanted to pursue. After just one or two computer engineering classes, however, his path became clear.

During college, Paul spent two summers as an intern at ACS and was offered a full-time position at graduation in the spring of 2005. Happily for ACS, he accepted. During the internships, Paul learned a great deal about Advantage and the publishing industry and he was able to really hit the ground running when he joined full-time.

He has been a part of the Product Development Group led by Howie Brooks since June 2005. Paul has developed modifications for clients such as Unity School, Wolters Kluwer Health, Palm Coast Data and Agora.

His supervisor, Howie Brooks, places high value on Paul's abilities: "Paul is great at working collaboratively as well as tackling large projects independently. He excels at thinking critically about a problem and evaluating multiple solutions, in addition to being great guy to work with." With a smile, Howie then adds: "He also puts up remarkably well with all the noise from my office!" (Paul's cubicle is right outside Howie's office, where the group discussions occasionally get a little loud.)

Paul appreciates the mix of small and large projects and the variety of tasks he is asked to work on. Several times, he has traveled to client sites to conduct training and enjoys getting to meet and interact with software users in person. His ideal assignment is to design something new from scratch, and with lots of leeway in the design allowing him to get creative. However, he understands that often, such leeway is not possible and that's okay with him, too. He also likes to problem-solve in the design area and undertake database design projects, plus he enjoys the occasional work with algorithms. (Yep, he's in the right job.)

Tara Rebak of Agora has this to say about him: "Paul is definitely one of my favorite engineers at ACS because he puts himself in the client's shoes when he's working on a project. His turnaround time for fixes on a mod or project is so quick that I've sometimes wondered if it could possibly be done so fast, but his work has been flawless."

Tara goes on to say: "He provides amazingly detailed documentation with configs and table references that require little, if any, explanation. I've had new projects come up recently and have requested that Paul be the engineer I work with, since it was such a pleasure working with him on our last project!"

A native of Ann Arbor, Paul currently lives in nearby Ypsilanti Township, with several housemates. When he isn't working, Paul's main focus is hockey. He plays three times a week and manages a team at a local ice rink. Hockey is a year-round hobby, but he also enjoys playing basketball, going bowling, playing pool and darts. And for those occasional times when he isn't on the go, he likes simply hanging out with friends.

Perhaps Paul channels any strong emotions he may have into those hockey games, because around the office, he has a reputation for always remaining calm. Dick Hile, VP Product Engineering, comments that: "When we wanted to experiment with a more iterative and 'agile' model for mod development, Paul was a natural choice for the project because of his quick grasp of different options and his unflappable demeanor."

Paul's coworkers are quick to compliment him. "Paul is great to work with. His ability to work with clients to understand their needs has been invaluable," says Scott Ghormley, of the account management team. "He is very professional and willing to do whatever it takes to ensure the success of a project."

"I consider Paul to be an invaluable resource for development projects," says product analyst Doug Moore. "He is flexible with the client's needs, always on time, and willing to go the extra mile to make projects successful. Paul exceeds expectations."

Judging by what he has accomplished in just three and a half years at ACS, the expectation is that Paul's future at ACS is very bright.

Database Version Alert for 9R1

We have posted a minimum system requirement of SQL 2005 in our Release Notes for the 2009R1 release, because the release was developed and tested completely in a SQL 2005 environment. This means that if you are upgrading to the 2009r1 release, and are currently using SQL 2000 or earlier, certain pieces of functionality may not be available to you.

As database engines continue to grow and evolve, new features and performance optimizations become available. The 2009r1 release of Advantage makes use of some of these new features that may not be available with a SQL 2000 database.

In April 2008, Microsoft retired the mainstream support for SQL 2000 on many of its service pack levels. For more information on the Microsoft product life cycles, please see the Microsoft Support site.

A full listing of the minimum system requirement for the 2009r1 Release can be found in the Release Notes.
If you are planning on upgrading to a 2009 release, use SQL 2000 or an earlier revision, and do not plan to upgrade your revision of SQL, please give your Account Manager a call to discuss further.

Process_Notification Capsule

As of revision 2008R2, Advantage calls a process notification procedure at the end of every process request and can be set up to send a variety of notifications, as you choose. Process_Notification.cap should be put in your advantage\local\custom_cli folder and then modified based on the types of notification desired.

When modifying the capsule, place the notification command before the RETURN TRUE line in the boolean Notify procedure. Remember, any capsules must be declared before using them.

This Month's Winning Webinars

The first webinar of 2009 will be a two-part session on ARP Reconciliation, led by Bob Thornton on February 17 and 19. Each session will start at 11:00 a.m. ET and last about an hour.

More of these multi-part webinars will be offered throughout the year in order to cover topics in greater depth. Details will be sent your way when they are available.

Next on the schedule is a FREE webinar presenting the New Features and Highlights from 8R1 to 9R1. This session will take place TWICE on February 26 and will be led by Mona Hidayet. The 11:00 a.m. ET session is already full, but there is still room to attend the 5:00 p.m. ET session.
